​You and your Peloton friends deserve a great hotel walking distance to the Peloton Cycling or Peloton Tread studios.  Allow us to source your options, negotiate your contract (even courtesy room blocks require contracts) and manage the rooming list.  Mention it is a Home Rider Invasion and enjoyed a waived hotel sourcing fee.

Why should you coordinate a room block?  
Beyond a possible discount and allowing your friends to connect by sharing transportation to events and activities, we can look at building in the cost of a unique space for morning Yoga on-site into the room rate and arrange to have the front desk handout welcome notes or name tags.

​Did you know slime has been known to be a source of stress relief and it lets you unleash your imagination?  Suitable for visitors of every age to enjoy sensory playground in which there are endless opportunities to explore. Awaken your deepest emotions that will undoubtably unleash the inner child in you as you interact with a variety of slime textures, colors and consistencies that evoke joy and excitement.  So wear comfortable shoes, clothes you don’t mind getting messy!

Cycle the Bridges

Enjoy a tour of New York City's Brooklyn and Williamsburg bridge by Bicycle!  Private and self-guided tours are available.  Pricing depends on size, tour duration and level of service (i.e. private, group, self-guided).

Mobile Meditation

No need to wait around for classes at the Peloton Studio.  Coordinate a mobile meditation experience complete with light and sound therapy for your members.  This experience is mobile so it can happen steps from the Peloton studio.  Perfect for groups of 50+ attendees so everyone has something to enjoy if you try to attend the free studio classes and become wait listed.  

Cake Decorating: channel your inner Ally Love

The Process

Your Preferences
No idea what sort of budget, location, dates or size group will work for your Peloton friends?  Allow us to create a short, simple, personalized online survey for you to send your tribe.  We can use that information along with your preferences.​

This is a great time to poll members for shirt designs.  Vosant Meetings & Travel can order the group shirts based on the submitted design.  Payment for shirts should be included in attendee registration.

We advise considering Holidays and the school calendar when selecting dates or date ranges. 

Sourcing
Once a budget range, trip duration, season, geographic preferences and expected size are selected, Vosant Meetings & Travel will collect a modest planning deposit + signed agreement prior to sourcing and pricing out your options.  This is a great stage to start selecting your activities.  We find it is easier to avoid last minute coordination when all prices are provided at one time.  

​Packages generally include: cost of planning services, accommodations, most meals, yoga space and activities, meals and matching apparel can be included.  

Site Selection
We help you pick the best option based on your preferences and can set-up tours of your preferred properties.  

Contract Negotiations 
Do you know what a rebooking clause is?  What about attrition or a courtesy room block?  Allow us to negotiate the contract terms on your behalf.    

Sharing Event Details + Registration
Once contracts are signed and the hotel + activities are confirmed, you will be given a branded event website.  Your attendees will register through the site, paying for any additional activities.  We highly encourage charging all participants a fee in order to create gifts bags and give away matching shirts.  They will book their hotel within the room block, electronically through a link provided by the host hotel, which will be provided once they register.  We strongly advise allowing us to collect allergies + preferences during registration in order to notify participating hotels, restaurants and other relevant vendors,

Logistics & Beyond
Vosant Meetings & Travel will work with the host hotel and relevant vendors to prepare for pre-arrival, in-house preferences and coordinated gifts.  You simply host your retreat, repeat perhaps 1-2 times annually and leave the planning to us.  ​

We can even handle coordination of your group's Air travel and supply Event Technology.
